This policy explains how The ARK Platform (“ARK”, “we”, “us”) collects, uses, stores and shares personal data when you use our platform and website. It is written for a UK audience and reflects the UK GDPR and the Data Protection Act 2018.

1. Who we are

The ARK Platform is the data controller for personal data processed through our services. If you have any questions about this policy or your data, contact our team via Contact ARK.

2. Data we collect

Depending on how you use ARK, we may process:

Account data: name, email, phone number, role and the organisation you belong to.
Housing data: property, tenancy, tenancy agreement and occupancy records you choose to store in ARK.
Support and care data: support plans, session notes, outcomes and risk information, where relevant to your service.
Compliance data: evidence, certificates, checklists and audit records.
Technical data: device, browser, IP address, login times and usage analytics.

3. How we use your data

We use personal data to:

Provide, operate and secure the ARK platform.
Authenticate users and enforce role-based access.
Maintain compliance, audit and reporting features.
Send service, security and operational notifications.
Improve the platform and diagnose issues.

4. Legal bases for processing

We rely on contract (to deliver the service you or your organisation signed up for), legitimate interests (to secure and improve the platform), consent (for non-essential marketing communications) and legal obligation (where we must retain records) under UK GDPR.

5. Data sharing

We do not sell personal data. We share data only with: your organisation and other authorised users within your ARK workspace; vetted sub-processors who help us run the service (for example hosting and email providers); and authorities where required by law. Where we use sub-processors, we put written agreements in place that meet UK data-protection standards.

6. Data residency and security

By default, ARK data is hosted in the United Kingdom. Data is encrypted in transit and at rest, access is controlled by granular roles, and sensitive actions require step-up authentication. Every change is recorded in an immutable audit trail.

7. Retention

We keep personal data for as long as your organisation’s account is active and for any period required thereafter by law or our retention policy. You can request deletion of data no longer needed.

8. Your rights

Under UK law you have the right to access, correct, erase, restrict and port your personal data, and to object to certain processing. To exercise these rights, contact us using the details above. You also have the right to complain to the Information Commissioner’s Office (ICO).

9. Cookies

We use cookies and similar technologies as described in our Cookie Policy.
